What you can do
Keep the working record clear
The Case Officer opens a case for an application handled by the election office. The office selects the responsible organization and service definition, names an owner, records a case number and submits the case when the application is ready for verification. A case can represent a request that needs evidence, an independent decision and a recorded response. The service definition gives the team a stable explanation of which office service the application concerns.
The case record is the office’s point of reference for an application. The Case Officer checks the number, owner, organization and service definition before adding evidence. The submitted date and revision tell the Authorized Reviewer which version was sent forward. Cases and Details places the status board beside the selected case, its requirement lines, pending decision and operation trace. Use that workspace to find a case and follow its current state. Keep the case name recognizable to the team without putting the entire decision in the title.
How the work is organized
- Record. The case record is the office’s point of reference for an application.
- Review. Agree how officers assign case numbers and choose a service definition for each application.
- Handoff. The Authorized Reviewer should see the submitted revision and its linked evidence without asking the Case Officer to recreate the file.
What to agree during setup
Agree how officers assign case numbers and choose a service definition for each application. The Service Administrator checks that the definition belongs to the intended organization and is active for the operating period. Decide when a Case Officer should submit a draft and who checks the owner and source references first. For a returned decision, agree how the corrected revision is identified before the Authorized Reviewer examines it again.
Use one application that needs a document and a requirement line. Walk it from draft to submission and compare the case number, submission date and revision in the working record. Give the Read Only Analyst a chance to find it using the same information an office colleague would have.
Check the handoff on an actual case
Start with a real application that the office already handles. Give it a case number, a clear name and the correct service definition. Check that the owner belongs to the responsible organization. Add the requirement lines and documents that the reviewing officer will need. When the case is submitted, compare its revision and submission date with the working record. Ask the reviewer to explain what is being decided before any delivery action is recorded.
The Authorized Reviewer should see the submitted revision and its linked evidence without asking the Case Officer to recreate the file. If the organization, service definition or owner is wrong, correct the case before the decision. Keep the earlier decision when a later revision is needed; the current status alone does not explain what was reviewed.
What your team sees
- Case status board — Find a case by its current status, owner and service definition.
- Cases awaiting verification — Open submitted cases for evidence checks.
Follow the work through
Follow case review from preparation to independent decision. Use delivery and correction when an approved outcome needs execution or an earlier revision needs correction.
