What you can do
Provider applications in daily work
An account application is linked to a parent banking instruction and an organization. It records the applicant, initial deposit, submitted date, revision, decision date and provider application identifier as available. The application moves through Draft, Submitted, Approved or Rejected, and Completed. Completion means the provider authority actually issued the account; an internal approval alone does not establish that outcome.
Independent review checks the submitted revision and supporting evidence. The reviewer records a decision against the parent instruction and the same revision before persisting the application outcome. This links the application to the instruction and gives the team a traceable decision path.
How the work is organized
- Parent context. Keep the application attached to the instruction that justifies the account request.
- Provider reference. Retain the application identifier when the external provider assigns it.
- Actual authority. Mark completion only when the provider issues the account.
What to agree during setup
Agree which documents support an application, who is allowed to submit it, which reviewer can decide, and how the provider’s issuance is confirmed. Set a procedure for a rejected application so the original decision stays visible. Bring the provider’s sample application and issuance notice to the rehearsal.
Check the handoff on an actual case
A preparer creates an application for an account associated with an authorized instruction and records the applicant and initial deposit. After checking the supporting attachment, an independent reviewer approves the submitted revision and records a reason. The team retains the provider application identifier while awaiting an external response. If the provider asks for more material, the application remains open with its existing history. When the provider issues the account, the application becomes Completed and the new account can be registered for later instructions.
For a rejected case, keep the reason with the decision on the parent instruction and leave the application in Rejected. A new submission needs its own current revision; the earlier approval cannot be carried forward. For an approved case with no issuance notice, the team should keep the application in Approved and follow up with the provider using its application identifier. When the account is actually issued, check the provider identifier against the resulting account record before allowing it into a later instruction. This gives the reviewer a clear boundary between a team decision and provider authority.
