Integrations and source ownership

Plan the source handoffs for patient, specimen, dispensation and payment records.

  • Emergency Department System
  • Clinical record
  • Laboratory
  • Pharmacy
  • Billing and payment
  • Identity service

Systems to connect

  • Clinical record. Agree patient identifiers, visit identifiers and which system owns the signed clinical record before entering notes or observations.
  • Laboratory. Map the specimen accession number, processing state and collection time to the encounter that requested the case.
  • Pharmacy. Map medication, lot, quantity, unit and authorizing person when a separate dispensing source supplies this information.
  • Billing and payment. Keep encounter service charges and patient receipt references with their source owners, then reconcile both sides under the organization’s billing policy.
  • Identity service. Map active staff accounts to people records and review role changes with the clinical governance owner.

How connections are governed

Name the source owner for each field and the person who resolves a rejected or repeated event. Keep a stable source identifier so a retry can be compared with the existing record. Reconcile samples at patient, encounter and accession level before routine entry or import. If your team sets up an external connection, test corrected and duplicate source records before using it for routine imports. Review a staff account change with the person who manages access.

Use the implementation plan to prepare the first handoff.
