What you can do
Connect each delivered line to an engagement
Service entries describe the work done, its service date, hours, rate, billable choice, team member and engagement. An Engineer prepares a line in Draft and submits it when the work is ready for review. Approved and invoiced values remain distinct, so the team can identify delivered work that has not reached billing. The engagement gathers those amounts alongside its contract position.
When a submitted line enters the service-approval workflow, the workflow checks three facts: it is billable, it has hours and it links to an engagement. An eligible line moves to Approved. The operation records a review decision and a successful operation receipt. A line that fails a guard remains Submitted and receives a Failed receipt. The team can correct its content and resubmit after examining the reason; a failed attempt should not be reported as approved delivery.
How the work is organized
- Preparation. Engineers describe the actual work and attach it to the engagement responsible for delivery.
- Review. Engagement Manager examines submitted work and follows the recorded decision and operation result.
- Billing handoff. Finance Manager identifies approved service value before treating it as invoiced.
What to agree during setup
Agree what counts as billable engineering service, whether the entered rate or member bill rate governs a line, and who may edit a line after submission. Confirm how the service description should name a deliverable or period so that an approver can understand it later. The service record also carries calculated delivery cost and margin amount. Review those against team member cost rates before using them for commercial decisions.
Keep status ownership precise. Submission starts the service approval check. Engagement Manager inspects the line and its result, then follows up on anything left Submitted. A Rejected service line needs a correction decision; a failed approval check leaves the line Submitted and marks the operation receipt Failed. Review the line and receipt together before retrying.
Check the handoff on an actual case
An Engineer records a billable design review with positive hours and the correct engagement. Submission triggers validation; the line moves to Approved, and review decision and receipt records preserve the action. Finance Manager sees it in Approved Not Invoiced while the service value remains separate from invoiced value. Now try a second line with no engagement. Submission leaves that line Submitted and creates a Failed receipt. The Engagement Manager opens the line, links the right engagement and repeats the check. The original failed result remains useful evidence of why it did not move.
An invoice should only use the approved value intended for billing. Compare the engagement’s approved and invoiced service amounts before closing the cycle.
