What you can do

Make field work accountable

A field task names the kind of work, its due date, the site, the restoration cycle and the person assigned to do it. The task can represent planting, irrigation, feeding, inspection or harvest. These values let the manager group related work without losing the person responsible for the next action. Planned work moves to Approved through a manager decision; the operator then records progress and completion. Cancelled work remains distinguishable from completed work.

Approval matters when treatment will be consumed. The manager checks that the linked site and cycle are suitable for work and that the chosen stock lot is current, sufficiently stocked and recorded in the same unit as the intended use. The treatment use record points to the task and stock lot. A lot balance should reflect the quantity consumed once the work is accepted, allowing the stock custodian to reconcile it.

How the work is organized

  • Assignment. Link every task to a site, cycle and named person.
  • Approval. Let the manager check the site, cycle and treatment decision before work begins.
  • Completion. Record progress, the completion date and any treatment used against the task.

What to agree during setup

Decide which task types require material and what information a manager needs to authorize them. Keep the person record connected to a user account, so assignment and approval are based on the actual actor. Agree how a due date is reviewed and who can cancel a task after approval. Set a shared meaning for in progress and Completed so an operator does not finish a task solely to clear a queue.

Treatments require their own lot and unit review. A stock lot with an expiry before application or insufficient quantity should prompt a new stock choice or work decision. Do not infer use from a task type; the use record carries the actual quantity and lot. The stock custodian compares usage with remaining stock and any separate site application record.

Check the handoff on an actual case

The manager plans a planting task at Willow Bend and assigns it to a field operator under the autumn cycle. Before approval, the manager checks the site’s availability, the cycle and the treatment lot intended for that work. The operator opens the assigned task, begins work and records any lot quantity used. On completion, the task has its completion date and stays attached to Willow Bend and the autumn cycle. The stock custodian checks that the use references the correct lot and task; a second entry for the same action needs review before stock is adjusted again.

What your team sees

  • Tasks Awaiting Approval — Planned assignments ready for the manager’s decision.
  • Field Tasks by Assignee — Approved and ongoing tasks with assignees and due dates.
  • Approved Field Work — Approved and ongoing tasks across sites.
