What you can do
Keep lot and field use together
A treatment stock record identifies the treatment name, lot number, unit, quantity on hand and expiry date. Those details help the custodian and manager decide whether material is fit for planned work. The treatment use record records how much of that lot was consumed and which field task required it. This link matters when a later review asks which lot supported an approved planting or inspection task.
A treatment application record answers a related question at the site level. It names the site, applicator, treatment, quantity, unit and application date. Because use and application are separate records, reconcile them on the actual case rather than assuming that either one automatically supplies all details for the other. The manager reviews the work decision; the custodian checks lot balance and unit consistency.
How the work is organized
- Stock lots. Track quantity, unit, lot number and expiry for available treatment material.
- Task use. Link consumed quantity to both the stock lot and field task.
- Site application. Record the date, applicator and treatment quantity at the site.
What to agree during setup
Agree the unit for each treatment and how conversions are handled before material is approved. Identify who maintains the stock balance and who records task use after work. An expired lot or a lot with too little material needs another work decision. Plan how the custodian will reconcile a completed task with the lot’s remaining quantity, especially if a mobile user retries an entry after a connection problem.
Decide whether a site application is recorded for every treatment use and who checks that both records describe the same event. Name the applicator through a person record connected to a user account. Keep treatment names consistent enough for a human to compare stock, use and site application records. Review an unexpected balance as an exception instead of hiding it with an unexamined adjustment.
Check the handoff on an actual case
The manager approves an autumn field task at Willow Bend with a selected treatment lot. The custodian checks the lot expiry, available quantity and unit before work starts. After application, the operator records the quantity used against the field task; the named applicator records the site application with date and unit. The custodian compares those records to the lot balance. If the application quantity and task use differ, the team checks the field entry and keeps the work decision traceable to the approved task.
What your team sees
