Lead to approved order

Turn qualified demand into an accepted commercial revision and an approved customer commitment.

Step by step

  1. Qualify the inquiry Sales Rep

Sales Rep records the customer identity, assigns the owner and moves the lead from New through Contacted to Qualified. Retain the reason when the inquiry becomes Unqualified.

    • Record qualification and follow-up
    • Updates Leads, Activities
  2. Convert the lead Sales Rep

Sales Rep reuses an existing account and contact where appropriate, creates the linked opportunity and assigns the next activity. Repeating conversion must return the same linked records.

    • Link the customer and pursuit
    • Updates Leads, Accounts, Contact persons, Opportunities
  3. Review the offer Sales Manager

Sales Rep submits the priced quote and Sales Manager approves the current revision. Check validity, price basis and the margin review state before moving from Submitted to Approved.

    • Approve the submitted offer revision
    • Updates Quotes, Quote items, Document revisions
ApprovalA person approves before the work moves on.
  4. Record customer agreement Sales Rep

Sales Rep follows sending and acceptance separately. Retain the accepted revision and customer signature evidence when signatures are part of the agreed process.

    • Retain the customer's accepted scope
    • Updates Quotes, Signature requests, Document revisions
  5. Approve the order Sales Manager and Finance Manager

Sales Manager approves the submitted customer order. Finance Manager also decides any required credit exception before an order on hold can proceed; that financial decision does not replace Sales Manager approval. The fulfillment route and delivery commitment should be clear to operations.

    • Sales Manager approves the commitment; Finance Manager separately decides required credit exceptions
    • Updates Sales orders, Sales order items, Credit exposures, Approvals
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • An existing customer is recreated during conversion, leaving sales history split across identities.
  • A revised quote is treated as accepted because the customer agreed to an earlier version.
  • A positive opportunity forecast is mistaken for an approved sales order.
  • Commercial approval proceeds while the customer's credit hold remains unresolved.
