Customer order to cash

Ship approved finished demand once and explain the invoice balance using confirmed receipts.

Step by step

  1. Prepare customer demand Plant Administrator

Plant Administrator maintains customer and vendor contacts, customer orders and customer order lines within agreed access. Review product, quantity, unit price and requested dates. Production Planner reviews that customer demand before making the production commitment.

    • Customer commitment prepared
    • Updates Contacts, Sales orders, Sales order lines
  2. Confirm approved demand Plant Administrator

Plant Administrator checks that the customer order is Approved before passing it to demand intake or shipment. Confirm the customer commitment with its responsible owner and compare the approved line quantities with the requested delivery date. Production Planner reviews the demand before committing production.

    • Approved demand established
    • Updates Sales orders
  3. Prepare the eligible delivery Operator

Operator manages stock reservations and deliveries for the intended sales order and warehouse. Picking advances to Packed after the eligible finished quantity is identified. Check held material separately from available stock before authorizing the shipping command.

    • Shipment scope prepared
    • Updates Reservations, Deliveries, Inventory
  4. Ship and invoice the scope Operator

Operator runs the permitted shipment action. The flow creates a shipment movement once, moves the delivery to Shipped and generates customer invoices for the eligible delivery scope. Conflicting replays are held for review. Accountant checks the resulting invoice and the movement-owned cost journal.

    • Inventory and invoice effects once
    • Updates Deliveries, Stock movements, Customer invoices
  5. Record and apply cash Accountant

Accountant records cash receipts with amount, applied amount and bank reference, then reconciles the outstanding customer invoice amounts. A confirmed receipt can remain partially applied. During setup, agree how each receipt application identifies the invoices it settles, then check a repeated payment confirmation before accepting routine receipt processing.

    • Received money reconciled
    • Updates Cash receipts, Customer invoices
  6. Review the posting period Accountant

Accountant reviews the shipment, invoice and receipt journals in the relevant accounting period. A Locked period refuses new postings until a named actor performs the agreed reopen action. Keep source references intact when resolving an accounting difference.

    • Source postings reconciled
    • Updates Journal entries, Journal entry lines, Accounting periods

Where it usually breaks

And how to keep it from happening.

  • Shipment uses unapproved demand or material that remains on hold.
  • A partial delivery is invoiced as though the entire order shipped.
  • Retrying shipment deducts stock or repeats the eligible invoice.
  • An Applied receipt state is accepted without reconciling the amount outstanding.
