Keys and references
Every transaction carries its entity and a human number such as order number, shipment number or invoice number. Records created from events, such as Deliveries, delivery attempts, cash receipts and stock events, also carry an operation key so a repeated submission resolves to the same record. Documents that are approved keep a frozen snapshot in document revisions, and the decision itself lives in Approvals. Stock is identified by entity, product, warehouse, location, lot number and custody state on inventory positions, and every movement belongs to one stock events record with its journal.
Quantities are held in a product unit and converted once to the base unit through product units. Money is held with its currency and the exchange rate used, and posted documents are corrected through reversals or finance corrections rather than edits. Import references by stable codes such as dealer code, product code and supplier code, never by display names.
Migration order
- Load Entities, Currencies, exchange rates, Users, chart of accounts, payment terms, tax codes and the active distribution policies, with approvers and any authority delegations.
- Load units of measure, Products, product units, cost standards, posting profiles, Warehouses and Locations, then bill of materials, BOM components, Routings and routing operations, activating each through master changes.
- Load Dealers, dealer contacts, price lists, price list entries, Suppliers, supplier bank accounts and bank accounts.
- Prepare a migration batches record with one opening journal and migration items for open dealer invoices, supplier bills, unapplied cash and stock positions and layers, then approve and apply it.
- Load open sales orders, purchase orders, stock transfers and work orders with their remaining quantities.
- Reconcile opening balances to the source ledger and stock count, test permissions and replay the exception cases before opening the first period.
