Invoice to cash

Invoice title-transferred quantity, approve and post it, and apply the dealer's payment.

Step by step

  1. Prepare invoice Accountant

The Accountant creates the invoice from title-transferred shipment lines, claiming quantity and value through sales allocations so nothing is billed twice. The invoice carries the period, currency, frozen rate, due date and tax evidence.

    • Billable scope claimed
    • Updates Customer invoices, Customer invoice lines, Sales allocations
  2. Approve invoice Finance Manager

The Finance Manager approves the invoice only when net plus tax equals the total within a cent, the period is open, the rate is frozen and the billed quantity stays within the eligible scope. The preparer cannot approve their own invoice.

    • Invoice approved
    • Updates Customer invoices, Approvals
ApprovalA person approves before the work moves on.
  3. Post invoice Accountant

The approved invoice posts with a balanced journal, and its outstanding amount becomes part of the dealer's exposure.

    • Receivable posted
    • Updates Customer invoices, Journal entries, Journal entry lines
  4. Apply cash Accountant

The Accountant records the actual receipt into the bank account and applies it to open invoices. An application cannot exceed the unapplied cash left after other reservations, and the invoice moves to partly or fully settled.

    • Cash allocated to invoices
    • Updates Cash receipts, Cash applications
  5. Reconcile the bank Accountant or Finance Manager

The Accountant matches bank statement lines to receipts and reconciles them. Returned payments and write-offs are recorded as finance corrections, which the Finance Manager approves before they post.

    • Bank matched; corrections approved
    • Updates Bank statement lines, Finance corrections, Approvals
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • An invoice is raised for ordered quantity before title has passed.
  • The same bank receipt is entered twice from a statement import and a manual entry. Use the operation key and statement line reference to keep one receipt.
  • A returned payment is fixed by editing the original receipt instead of recording a correction.
