Who it's for

Dairy distributors

A distributor buying dairy products from suppliers can use dealer, product, lot, warehouse and finance records for the trading cycle. The product record identifies the item and its unit; the team decides which items need a lot identity. Purchasing Manager owns supplier commitments, while Sales Representative records dealer demand.

How Dairy ERP is set up for you

Commercial scope

Record the supplier commitment and dealer order with product units and current approvals.

Physical scope

Keep lot identity where enabled and distinguish arrival from accepted, reserved and dispatched stock.

Financial scope

Match supplier charges to accepted receipt scope and customer billing to transferred title.

A distributor buying dairy products from suppliers can use dealer, product, lot, warehouse and finance records for the trading cycle. The product record identifies the item and its unit; the team decides which items need a lot identity. Purchasing Manager owns supplier commitments, while Sales Representative records dealer demand.

Start with an item purchased from a supplier and sold to a dealer. Purchasing Manager records its ordered quantity and original promise. Warehouse Operator records a partial arrival, and the physical reviewer accepts only usable quantity. Reserve a portion for the dealer order and leave the remainder visible in the warehouse. Then dispatch part of the order, record the actual delivery outcome and let Accountant bill only eligible title-transferred quantity. Finance Manager approves the invoice. Compare the receipt, reservation, shipment and invoice when a delivery is refused. Keep the returned goods decision separate from any credit.

Before adding another warehouse, check that each stocked item has the right product unit and lot setting. Have the team locate the original supplier receipt from a remaining stock layer, then trace one shipped unit to the dealer line. This keeps the pilot focused on records the purchasing, warehouse and finance teams actually use.
