What you can do

Keep the dealer offer, accepted order and approval tied to one commercial scope

A distributor can prepare an offer for a dealer buying an item in a defined product unit. The account identifies the legal dealer, billing identity, ordering contact, terms and delivery location. Sales Representative selects an effective price basis and records the quantity and tax treatment. The quote retains its version and validity so a later price change does not silently revise an accepted offer.

When the dealer accepts, the order records the quantity, value, ship-to address and original delivery promise. Sales Manager reviews the current accepted scope before approving it. Finance Manager handles a credit exception when the linked review shows exposure beyond the finite dealer limit. This separates commercial acceptance from credit authority. A submitted order cannot become eligible stock demand solely because the customer said yes.

Partial fulfillment continues against the same bounded order lines. The original promise remains available when a revised date is agreed. Sales and warehouse staff can see what has shipped, what remains, and what was cancelled without treating each partial delivery as a new order. Billing later consumes eligible delivered or dispatched title scope according to the recorded title rule.

How the work is organized

  • Prepare. Sales Representative records the dealer offer, product unit, price, tax and validity on a current quote.
  • Approve. Sales Manager reviews the accepted order revision; Finance Manager decides a credit exception when required.
  • Fulfill. Warehouse staff uses the approved order lines for reservation and partial shipments while Sales Representative tracks the original promise.

What to agree during setup

Agree which entity owns each dealer, who may amend terms, how an accepted quote is evidenced, and who handles a credit exception. Rehearse a held dealer, an expired offer and a partial order before release. Keep the decision owner separate from the preparer for controlled releases. Use a real sample that includes a correction, so the operating team sees where the original record remains available.

Check the handoff on an actual case

Create a dealer offer, approve the order with a different person, then partially ship it. Compare the accepted quantity with the remaining line amount and original promise. Confirm that the second shipment cannot claim quantity already used. Ask the next owner to trace the source, decision and actual event in order. Compare the remaining quantity and value after each partial action. Record the person who resolved an exception and the evidence they used.

What your team sees

  • Orders awaiting approval — Submitted dealer orders with value and owner ready for Sales Manager review.
  • My dealer orders — The representative’s orders and their current fulfillment status.
