A distributor supplying replacement parts to dealers needs a reliable path from dealer demand to accepted delivery and collection. ERP for Defense keeps the ordinary commercial, warehouse and finance records together for that work.
Start with a replacement part that is held in a specific warehouse and promised against an accepted dealer order. Create the dealer and product records, set the responsible entity and warehouse, then follow the accepted order through purchase or available stock, dispatch and invoice. The team should compare the original promise with actual movement at each handoff.
If the arrival is short, record accepted and rejected quantities separately. If delivery is partial, keep the undelivered quantity open. If the buyer returns goods, authorize the bounded original scope and record the actual physical result before any credit. At period end, reconcile outstanding customer balances and source evidence for the entity.
During the pilot, ask each owner to show the record they hand to the next person. Compare the approved quantity with the actual receipt, dispatch and customer acceptance. Keep an exception open until the responsible person records its outcome.
