Plan work from the actual room position
Turnover work follows the relevant departure and current room context. The assignment retains its room, service date, current task revision and required checks, so staff can distinguish a real turnover from a general calendar expectation.
PMS occupancy, local cleaning state, inspected readiness and maintenance restrictions remain separate dimensions. A room can be clean and still occupied, inspected and still blocked, or vacant with work remaining. The team sees those distinctions before acting.
Give attendants the instructions they need
Housekeeping Attendant receives assigned room and task instructions, including the service preferences and access restrictions required for that work. The task does not expose unrestricted folios, payment credentials or identity documents.
Current do-not-disturb, service-declined and access instructions govern the next action. A missed or interrupted visit retains its actual reason and rescheduling rather than becoming a completed task. A nightly reset cannot invent cleaning that did not happen. A refreshed PMS revision updates the same service obligation; additional cleaning needs an actual new condition and supervisor-authorized work.

- Retain actual start, completion and interruption observations.
- Record new faults or conflicting occupancy evidence for review.
- Carry unfinished work forward with a visible reason.
Record cleaning as an observed fact
Attendants record the work they actually perform and any remaining issue. A completed cleaning observation makes the room ready for inspection; it does not itself establish independent approval, vacancy or availability in the PMS.
If the attendant finds an occupied room where the PMS suggests vacancy, the observation raises a discrepancy. Front desk reconciles the external state while the local evidence remains intact. Neither system’s earlier status is silently rewritten to make the conflict disappear.
Inspect the current turnover
Housekeeping Supervisor independently inspects the completed work, excluding the actual cleaner and the task preparer or material editors. That independent supervisor may record and sign their own inspection evidence. The decision covers the exact room and current turnover revision with its required checks.
New dirt, a reported fault, changed occupancy or unmet inspection requirement can invalidate the previous local readiness. An earlier signature is not authority for a different condition or another turnover.

Resolve each room restriction
Room blocks preserve their reason, affected interval, actual evidence and release history. Property Manager independently approves the release of the particular local restriction after supported maintenance or service resolution.
A second active block remains effective when the first is released. The PMS’s restriction vocabulary follows the configured source mapping; the hotel must not assume that every vendor gives the same meaning to out-of-service or out-of-order status.
A newly confirmed external occupancy fact stays visible even if it violates a local block. The discrepancy restricts new local promises and work while the team reconciles the cause; rejecting the update would only conceal the actual guest position.
