What you can do

Establish the original source

A return begins with the original shipment or supplier receipt. The return request identifies the direction, party, reason and request window. Its lines retain the eligible original quantity and the amount actually received or dispatched. This matters when a dealer sends back only part of a delivered order: the team needs to know which original sale and stock movement the returned units relate to.

Warehouse Manager reviews physical authorization and later disposition. Finance Manager owns required refund or financial correction approval. Accountant prepares the credit, refund or correction from the relevant posted source. These are separate decisions because receiving a parcel does not by itself settle what the dealer is owed.

How the work is organized

  • Authorization. Check the requested quantity against the original net unreturned scope.
  • Physical outcome. Record actual movement and select restock, hold, rework, scrap or supplier return disposition.
  • Commercial effect. Issue eligible credit, refund or linked correction through finance review.

An authorized return may be partly received. A disposition may put some units back into available inventory while holding others. Each quantity has a source so the same original units cannot be returned twice. The stock value removed or restored can differ from the original commercial sale amount.

What to agree during setup

Define who accepts a dealer return request and what reason and original reference are required. Agree the physical inspection and destination locations for sound and damaged goods. Decide when a supplier return is recorded separately from the supplier credit. Set refund authority and the bank settlement evidence needed before any money is considered paid.

Corrections should retain the original document and a separate reversal or replacement source. Finance Manager reviews a posted financial correction independently. The team should know whether a customer credit remains available for future allocation or is being refunded, and should not use both paths for the same value.

Check the handoff on an actual case

A dealer refuses part of a delivery and later sends another part back. Keep the refused visit outcome separate from the received return. Authorize only the remaining original eligible quantity. Inspect the returned units, restock the sound portion and hold the damaged portion. Record the disposition and check the stock movements against the original shipment line.

Accountant prepares a credit note for the approved commercial amount. If the dealer asks for cash, Finance Manager reviews the refund and follows the external settlement. Repeat the return event and verify that it creates no second stock movement, credit or refund. The team should still be able to explain the original order, shipment, return and correction chain.

What your team sees

  • Returns awaiting authorization — Requests with direction, party, reason and decision status.
  • Warehouse availability — Restocked and held quantities after physical disposition.
  • Invoices awaiting approval — Financial documents needing a separate finance decision.
