What you can do
Read the same cutoff
Business Overview brings demand, confirmed supply, remaining order net, stock availability, overdue receivables and unresolved exceptions into one starting screen. Operational lists lead back to the underlying order, position, receipt or task. A planned route, actual dispatch and completed delivery are different facts, so compare like-for-like stages when interpreting service.
How the work is organized
- Source. Read demand, supply and stock against the same entity and cutoff.
- Decision. Keep approved commitments separate from physical arrival, dispatch and financial posting.
- Evidence. Open source records from an exception so the responsible manager can decide the next action.
Stock reporting uses current entity-owned positions, reservations and transit quantities. Supplier performance compares approved purchase scope with actual arrival and accepted receipt tranches. Finance follows posted invoice and bill balances, cash allocations, source-linked journals and close tasks. A report should retain the entity, currency and time cutoff needed to explain the number.
What to agree during setup
Agree the entity, currency and date basis for comparing a supplier receipt with an order and its eventual invoice. Review the roles that can prepare, approve and correct the record. Keep the source revision and its later decisions linked for audit.
Check the handoff on an actual case
Rehearse a supplier partial receipt followed by a partial buyer dispatch. Check that available stock reflects only accepted owned quantity, the order report keeps its unfulfilled portion and the receivable appears only after an approved posted invoice. Finance and warehouse teams should see the same underlying events within their permissions.
Compare a partly received purchase with a partly delivered buyer order; available stock and receivables should follow accepted and posted events. Ask the receiving role to open the source and confirm the remaining quantity, decision and event date. Preserve a linked correction if an earlier event needs to be amended.
For a buyer order that is partly shipped, compare the committed quantity with dispatch and accepted delivery separately. For a supplier order, show arrival and accepted receipt separately. Those differences tell Sales Manager and Purchasing Manager which next action each owns.
What your team sees
- Buyer order board — Group approved and partly shipped buyer orders by status.
- Stockpile availability — Show the available quantity at each stockpile after reservations.
- Period close work — Show open close tasks and their accountable owner.

What it keeps track of
Data model- Sales orders
- Dealer-accepted scope plus mandatory independent commercial approval.
- Sales order lines
- Bounded accepted quantity/value and retained original promise.
- Purchase orders
- Immutable approved supplier commitments; cumulative amendments cannot bypass authority.
- Goods receipts
- Immutable actual arrivals and separately accepted quantities.
- Stockpile positions
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Dispatches
- Actual dispatch and title/delivery state separated for partial deliveries.
- Haulage results
- Each attempt allocates line outcomes once; one visit may partially deliver many lines.
- Invoices
- Local customer debit/credit documents with mandatory independent Finance Manager approval.
- Bills
- Local supplier debit/credit documents with matching, carrying and separate settlement.
- Close tasks
- Current source reconciliation evidence for an entity cutoff.
- Journal entries
- Balanced entity-functional journals with source identity and immutable postings.
