Local relief organizations
A local relief organization may run several projects under one program while needs differ by location. Projects hold dates, budget and status; household records hold size, location and vulnerability. Activities record the actual work and beneficiaries reached. Donor funding cases and fund events provide the financing context for those projects.
How NGOs ERP is set up for you
Project focus
Program Lead sets up each project under the right program and keeps its location and timeline current.
Priority review
Field Coordinator maintains household vulnerability values so Program Lead can find medium and high vulnerability records.
Activity updates
Actual activity dates and summaries explain what the team carried out.
Funding decision
Funding Reviewer decides submitted requests and leaves a reason on the review record.
Exception handling
Finance Lead follows variance and operation receipts needing review.
A local relief organization may run several projects under one program while needs differ by location. Projects hold dates, budget and status; household records hold size, location and vulnerability. Activities record the actual work and beneficiaries reached. Donor funding cases and fund events provide the financing context for those projects.
For a relief project whose activities have begun, the team can still have a funding case awaiting review. Project status and funding case status describe different decisions. Keep each current, then record pledges, receipts and disbursements against the relevant case as those movements happen.
Begin with one organization, program and project. Confirm the project's budget, start and end dates with Program Lead. Enter a few real households under the project and agree how vulnerability is assigned. Plan an activity, then record its outcome after it happens. Check that Completed Activities and Supported Households tell a coherent story without treating household size as activity reach.
Add one donor and a submitted case to rehearse the funding review. Confirm Review Decision History and Operation Receipt History after the reviewer acts. Run project funding reconciliation once case events and activities exist. Finance Lead should be able to trace a variance back through the project's cases and event references, then bring a correction to the owner of that source record.
