What you can do
Keep the source and decision together
Customer invoices draw from eligible title-transferred order quantities and accepted net allocation. Finance Manager independently approves each invoice before posting. Cash receipts recognize actual received money, while applications consume only available unapplied value.
Accountant matches supplier bills, prepares payments and reconciles bank statements. Finance Manager controls release, corrections, revaluation and period close. Journals and close tasks preserve the cutoff and evidence behind each balance.
For a supplier bill, Accountant compares the invoiced product and quantity with unused accepted receipt scope. A disputed line stays visible as a matching exception. A prepared payment run shows intent; Finance Manager releases the payment, and the bank response establishes whether it settled. A timeout needs reconciliation before the supplier balance is treated as paid.
How the work is organized
- Choose. Choose the legal entity, currency and accounting period for each document.
- Set. Set independent invoice and payment authority.
- Reconcile. Reconcile bank, receivable, payable, inventory and transit sources before closing.
The customer invoice consumes eligible title-transferred and unbilled order scope. Finance Manager independently reviews the current invoice before posting. Accountant records actual received cash and applies no more than the available unapplied amount. Supplier bills use accepted receipt evidence; payment release and bank settlement are separate facts.
What to agree during setup
Choose the legal entity, currency and accounting period for each document. Set independent invoice and payment authority. Reconcile bank, receivable, payable, inventory and transit sources before closing. Name the person who will review a changed revision and the person who will reconcile a posted correction. Check that both work within the right legal entity and assigned site.
Check the handoff on an actual case
For a dealer who pays part of an invoice, compare the posted invoice balance with the received amount. Reserve and post one application, then leave the unpaid remainder open. Reconcile a later bank statement line to the same receipt without creating duplicate cash. At cutoff, Accountant resolves close tasks before Finance Manager authorizes the period close.
