What you can do

Keep the source and decision together

A distributor receives a dealer request for packaged products. Sales Representative checks the active dealer, selling unit, effective price list, tax basis and requested quantity before preparing a quote. The quote retains its expiry and the exact net price allocation; later price changes do not rewrite the offer the dealer accepted.

Sales Manager reviews the accepted order revision independently. Finance Manager decides a credit exception if the current exposure exceeds the dealer limit. The order can then reserve eligible stock without treating an unapproved draft as demand.

How the work is organized

  • Keep. Keep each dealer within the correct legal entity and currency.
  • Agree. Agree who may prepare a quote and who independently accepts an order.
  • Set. Set credit limits, payment terms and the point at which title transfers.

The accepted quote, current order revision and credit decision answer different questions. Sales Representative retains the offer the dealer saw, including its selling unit and expiry. Sales Manager approves the order revision that Sales will fulfil. If exposure is above the dealer limit, Finance Manager reviews that exception before reservation. A changed quantity or ship-to address goes back through the current decision path.

What to agree during setup

Keep each dealer within the correct legal entity and currency. Agree who may prepare a quote and who independently accepts an order. Set credit limits, payment terms and the point at which title transfers. Name the person who will review a changed revision and the person who will reconcile a posted correction. Check that both work within the right legal entity and assigned site.

Check the handoff on an actual case

For a dealer ordering two product packs, check the chosen product unit and price basis on each line. If only part of the order is available, reserve that eligible portion and retain the original promise for the remainder. Follow the order from approval through shipment allocation and invoice. The accepted net amount is the ceiling for later billing.

In the two-pack order, trace each order line to the quote line and accepted price. Reserve only the available portion against that line; keep the original promise and the remaining demand visible. When the second pack arrives, do not treat the first shipment allocation as a new sale. Finance should see only the eligible delivered or dispatched quantity under the order title rule.
