What you can do

Keep dealer terms, accepted prices and the credit decision attached to each order

Start with a dealer account owned by the selling entity. Sales Representative checks the ordering contact, delivery address, payment terms and effective price list before preparing a quote. For a packaging supplier selling cartons in packs, the product unit and quantity tier establish a price basis. The quote keeps that basis with its validity date and allocated discounts. An accepted quote can feed an order without repricing old work when the list changes.

Sales Manager reviews the submitted order revision and its credit review. Finance Manager decides any credit exception within a stated amount and time. A dealer hold or stale exposure must be resolved before accepted scope is reserved. Partial shipment and billing allocations consume only the remaining accepted line quantity and value.

How the work is organized

  • Source. Keep the responsible entity, original document and current revision attached to the transaction.
  • Decision. Send material releases and exceptions to the named reviewer with the exact scope and reason.
  • Result. Record actual quantities and financial effects separately from plans and instructions.

What to agree during setup

Confirm who owns dealer activation, which entity sells each product and when title transfers. Agree on pack conversions, order acceptance evidence and the finite credit limit before importing live orders.

Use the dealer code to match imported accounts and keep the accepted order revision with its quoted unit and price. Give Sales Representative a prepared order and Sales Manager the submitted revision; Finance Manager should see only the bounded credit exception. Test an ordinary user account so an administrator permission does not hide a failed handoff.

Check the handoff on an actual case

Take a dealer order with two products and an agreed delivery date. Approve it, ship one line in part, then check that the open promise, reservation and uninvoiced value remain separate. Change the price list afterwards; the original accepted value should remain traceable. Revisit the same order after a credit limit change and require a fresh review when exposure changes.

Sales Representative should explain which line is still promised and which part has already been allocated to a shipment. Sales Manager should see the credit review used for acceptance. If the order changes, keep the prior approval attached to the prior revision and request a decision on the new scope.

What your team sees

  • Orders awaiting approval — Orders submitted for an independent sales decision, with dealer, value and credit review visible.
  • Sales order board — Accepted and partly shipped orders grouped by their current state.
