What you can do

Know which stock is owned, available, reserved or moving between sites

Inventory positions carry product, entity, warehouse, location, lot, custody state and quantities. A reservation is a bounded claim on a position and layer; picking changes custody without itself creating a customer sale or cost of goods sold. Stock events and movements retain the source and value of each effect. A location can represent receiving, picking, dispatch, transit or production, while the entity remains the legal stock owner.

Warehouse Manager reviews a transfer before dispatch. The movement retains in-transit quantity and value until the destination records actual receipt. A partial receipt leaves an explicit remainder, rather than disappearing from both warehouses. Count plans lock a scoped population, record observed quantities and route material variances through review before an adjustment is posted.

How the work is organized

  • Source. Keep the responsible entity, original document and current revision attached to the transaction.
  • Decision. Send material releases and exceptions to the named reviewer with the exact scope and reason.
  • Result. Record actual quantities and financial effects separately from plans and instructions.

What to agree during setup

Agree on warehouse and entity boundaries, lot policy, location names and who can release a transfer. Establish opening layers and standard costs before reconciling available stock. Keep the policy tolerance finite and visible to reviewers.

Decide which warehouse locations hold sellable, held and transit stock. Set the count tolerance before any count plan locks its scope. Warehouse Manager reviews the transfer; Warehouse Operator records each dispatch and receipt quantity. Use separate ordinary accounts to confirm that an operator cannot approve the transfer or adjust a count outside authority.

Check the handoff on an actual case

Transfer a lot from one warehouse to another and receive only part of it. Confirm that the remaining quantity is still owned in transit and cannot also be reserved at the origin. Count the destination position with a variance, request a recount and compare the resulting stock event with the original locked snapshot.

Warehouse Manager should reconcile source quantity, destination quantity and the still-owned transit remainder after the first receipt. The count team should compare the locked expected position with the observed and recounted quantity. Finance Manager reviews any valuation consequence before the adjustment posts.

What your team sees

  • Available stock — Available positions by product, warehouse, location and lot, with reservations visible.
  • Transfer review — Transfers waiting for Warehouse Manager approval before movement.

What it keeps track of

Data model
Inventory
Current owned stock by complete identity and custody state; provenance is not a second balance.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Reservations
Exclusive bounded demand claims through picking and owned transit.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Count plans
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Warehouses
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
Locations
Shallow warehouse bins, staging and transit custody locations.

Who uses it
