Lease review and activation

Carry the agreement through the reviewer decision and inspect the unit and rent-charge results.

Step by step

  1. Prepare the agreement Property Manager

Property Manager selects the unit and tenant on a Draft lease, then checks the start date, end date, monthly rent and deposit against the agreed terms. Review existing activity on the unit before presenting the agreement. Keep the source document available through the customer's chosen document process.

    • Draft terms linked to the intended unit and tenant
    • Updates Leases, Units, Parties
  2. Submit for review Property Manager

Property Manager uses the agreed submission procedure to present the lease in Review. Property Reviewer checks the same unit, tenant and terms. Rehearse the handoff with ordinary role accounts so the preparing person can find the feedback and correct the agreement when needed.

    • Agreement presented in Review
    • Updates Leases
  3. Decide activation Property Reviewer

Property Reviewer approves or rejects through the lease activation action from Lease Desk. The checks include an active staff identity, valid interval and rent, and conflicting Active or Notice leases over the same dates. An eligible approval sets the lease Active. Inspect rejected feedback before preparing another attempt.

    • Eligible reviewer approval sets the lease Active
    • Updates Leases, People, Units
ApprovalA person approves before the work moves on.
  4. Inspect downstream records Property Manager

Property Manager checks that the unit is Reserved for a future start or Occupied as applicable. Finance Officer inspects the Rent charges with their billing periods, due amounts and current states. Repeat the activation request to confirm that the same lease periods have not been created again.

    • Unit position and monthly Rent periods checked
    • Updates Units, Charges, Leases

Where it usually breaks

And how to keep it from happening.

  • An existing Notice agreement is overlooked during the interval review.
  • The reviewer's staff identity points to the wrong account or is inactive.
  • A rejected agreement is resubmitted before the feedback is understood.
  • Rent periods are assumed correct without checking the linked lease.
