Rent collection and allocation

Trace the lease charge to confirmed tenant money and reconcile the attributed amount.

Step by step

  1. Review the charge Finance Officer

Finance Officer checks the linked lease, charge type, billing period, due date and amount. Read Draft, Posted and Voided separately before discussing the collectible balance. Monthly Rent charges follow eligible lease activation; other charge preparation follows the team's agreed procedure.

    • Billing period and eligible state checked
    • Updates Charges, Leases
  2. Record the payment Finance Officer

Finance Officer selects the existing tenant and enters the received date, amount and reference. Keep the payment Pending while the evidence is being checked. Investigate a repeated source reference before entering another receipt so the collection conversation uses the actual payment population.

    • Tenant payment captured for review
    • Updates Receipts, Parties
  3. Confirm the evidence Finance Officer

Finance Officer checks the bank or other agreed payment evidence before marking the receipt Confirmed. Set up the chosen connection during implementation when that evidence is needed in the working environment. Retain the source reference used in the reconciliation.

    • Evidence-backed confirmation recorded
    • Updates Receipts
  4. Link the allocation Admin

Configure and rehearse Admin maintenance access during setup. The authorized owner links the receipt and charge with the actual amount and allocation date. Finance Officer checks that both paths concern the same tenant and that the amount fits the remaining charge and available confirmed money.

    • Amount attributed under agreed access
    • Updates Receipt allocations, Charges, Receipts
  5. Reconcile the balance Finance Officer

Finance Officer compares Posted charge amounts with eligible allocations from Confirmed receipts. Show unallocated confirmed money separately. Inspect a Reversed receipt's existing allocations with the correction owner before accepting the revised financial position.

    • Remaining charge and unallocated money explained
    • Updates Charges, Receipts, Receipt allocations

Where it usually breaks

And how to keep it from happening.

  • The recorded lease deposit is confused with received money.
  • A receipt is linked to another tenant's charge.
  • The attributed amount exceeds the remaining eligible money or charge.
  • A Reversed payment is included in the confirmed-money review.
