Dealer order to delivery

A dealer order sets a commercial and quantity limit. The warehouse may fulfill it in parts, but each dispatch and delivery result has to remain tied to the original line. Agree the customer's title rule before dispatch because it determines when goods leave owned stock and become eligible for billing.

Step by step

  1. Prepare dealer order Sales Representative

Sales Representative records the dealer, products, accepted price, ship-to details and original promise, then submits the current revision.

    • Retains accepted scope and original promise
    • Updates Dealers, Sales orders, Sales order lines
  2. Approve order Sales Manager

Sales Manager checks the accepted scope and independently approves it. Finance Manager reviews any bounded credit exception.

    • Records independent commercial and credit decisions
    • Updates Sales orders, Credit reviews, Approvals
ApprovalA person approves before the work moves on.
  3. Reserve and pick Warehouse Manager

Warehouse Manager assigns eligible owned stock. Warehouse Operator records actual picked quantity against the reservation and order line.

    • Claims eligible quantity and records physical picking
    • Updates Reservations, Pick tasks, Inventory positions
  4. Release route Warehouse Manager

Warehouse Manager checks the assigned operator, warehouse, transport evidence and ordered stops before approving route release.

    • Fixes route assignment and approved stop scope
    • Updates Delivery routes, Route stops, Approvals
ApprovalA person approves before the work moves on.
  5. Dispatch and confirm Warehouse Operator

Warehouse Operator records actual shipment and delivery attempts. Accepted, refused, failed and damaged line quantities stay separate.

    • Separates dispatch from line-level outcome
    • Updates Deliveries, Shipment lines, Delivery attempts, Delivery results
  6. Bill eligible scope Finance Manager

Accountant prepares only the title-transferred, unbilled line quantity; Finance Manager approves the invoice.

    • Claims eligible unbilled value once
    • Updates Customer invoices, Invoice lines, Sales allocations
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • A partial pick must leave the rest of the order open. Do not treat the planned pick quantity as actual dispatch.
  • A released route cannot stand in for a successful visit. Record the attempt and its line outcomes.
  • For delivery-title orders, stock can remain owned in transit after dispatch. Check the title-transferred portion before billing.
  • A revised delivery window should retain the original dealer promise for service reporting.
