Purchase to accepted receipt

The purchasing handoff connects a material shortage to an approved commitment and an identifiable receipt. Buyer, the receiving team and Quality Inspector should be able to explain the same yarn delivery using its purchasing evidence.

Step by step

  1. Prepare the request Buyer

Buyer checks the product, positive quantity, need date and estimated value on the requisition. Confirm the approved vendor contact, raw-material warehouse and responsible buying employee.

    • Establish the requested material and vendor
    • Updates Requisitions, Suppliers, Contacts
  2. Decide the purchase Buyer

Approver reviews the assigned decision independently of the requester. Approved requisitions can move into a linked purchase order; submitted purchase orders require the assigned purchasing approval before receiving work proceeds.

    • Record the independent purchase decision
    • Updates Approvals, Requisitions, Purchase orders
ApprovalA person approves before the work moves on.
  3. Record arrival Operator

Operator records the eligible receipt against the outstanding purchase scope. Identify the destination warehouse and retain the purchase-order reference so the inspector can find the material's origin.

    • Identify receipt scope and destination
    • Updates Goods receipts, Purchase order lines
  4. Decide acceptance Quality Inspector

Quality Inspector reviews required incoming inspection evidence. Keep material waiting for quality review until its disposition is known, then accept or reject the receipt according to the recorded result.

    • Record incoming inspection and disposition
    • Updates Goods receipts, Quality inspections, Inspection results
ApprovalA person approves before the work moves on.
  5. Match the invoice Buyer

Accountant compares the supplier invoice with the order and received quantity. Buyer helps investigate a price or quantity difference before the invoice continues into approval.

    • Explain invoice differences against receipt evidence
    • Updates Supplier invoices, Match exceptions

Where it usually breaks

And how to keep it from happening.

  • Repeated conversion. Retain the existing purchase order when the same approved requisition is converted again.
  • Receipt without outstanding quantity. Resolve the purchase scope before recording another arrival against it.
  • Invoice ahead of material. Investigate missing-receipt evidence instead of assuming that an invoice proves arrival.
