Shipment to period close

Shipment reduces finished stock and creates a customer billing handoff. Accountant needs the delivery scope and original movement to explain the invoice and its financial effects. Close the period only after that source review is complete.

Step by step

  1. Prepare delivery Operator

Operator checks the approved customer order and eligible finished goods. Record the picking and packing progress, shipping warehouse and carrier reference for the intended delivery.

    • Establish eligible customer shipment scope
    • Updates Deliveries, Sales orders, Inventory
  2. Record shipment Operator

Operator completes the authorized shipment action. Retain the shipment movement and eligible invoice for the delivery, returning the same effects when the request repeats with unchanged content.

    • Retain the shipment and invoice effects
    • Updates Deliveries, Stock movements, Customer invoices
  3. Review customer money Accountant

Accountant checks the invoice amount and outstanding balance, then records confirmed receipts and applied amounts. Keep unapplied money visible until its customer-account treatment is resolved.

    • Reconcile confirmed money and remaining balance
    • Updates Customer invoices, Cash receipts
  4. Review source postings Accountant

Accountant inspects draft journals inside the selected period. Compare stock-movement sources with current cost standards and review outstanding supplier match exceptions before finishing the close discussion.

    • Explain financial postings and unresolved differences
    • Updates Journal entries, Journal entry lines, Cost standards, Match exceptions
  5. Lock the period Accountant

Accountant locks the reviewed period. Require a named attributed actor for reopening, and refuse new postings dated inside the locked window.

    • Close the reviewed posting window
    • Updates Accounting periods, Journal entries

Where it usually breaks

And how to keep it from happening.

  • Changed retry content. Hold a conflicting repeat shipment for review instead of creating another stock or invoice effect.
  • Shipment mistaken for settlement. Use confirmed customer money to explain invoice payment status.
  • Late posting into closed books. Resolve the period decision before a new source journal enters a locked date window.
