How an Estimation & Quote Builder rollout works
Start with a real engagement and rehearse approvals, billing, and collection.
Set ownership
Choose the client owner, engagement manager, service reviewer, milestone approver, billing specialist, and Admin. Decide who may change each status.
Load the baseline
Enter organizations, team members, rates, clients, active engagements, fees, hours budgets, and current milestones.
Rehearse delivery
Submit a valid service line and a line missing hours. Confirm the decision and operation receipt in each case. Add time and expense entries for the same engagement.
Rehearse billing
Approve a deliverable, run the invoice action, and check the result. Try a milestone without amount to confirm it remains Approved with a Failed receipt.
Rehearse collection
Add a payment, record a confirmed receipt, and review the overdue or disputed queue. Compare engagement margin and outstanding amount.
What the customer provides
Provide the current client list, active engagements with agreed fee and budget, team rates and capacity, milestone amounts and due dates, and opening invoice and payment positions. Name the accounting and payment sources used for reconciliation. Choose a pilot engagement whose owner can check the facts and resolve mismatched records before broader import.
Changing it afterwards
Review rate, capacity, and access changes with their owners. Correct work and billing records through their accountable roles and keep decision and operation history available. When an engagement’s agreed scope changes, document the revised business terms and explain the impact on delivery, milestone amounts, and margin review before the next billing action. See the data model for import order and roles for decision custody.
