What you can do
Operator offers and order acceptance
A Sales Representative starts with the charge point operator, its billing identity and terms. The offer names a product unit, a valid price basis and the requested quantity. A quote records the date it remains valid and the evidence of acceptance. The order then fixes the original promise for each line, so later revisions cannot disguise a late shipment.
Sales Manager decides whether an order can be accepted after reviewing the customer exposure and any credit exception. The Sales Representative remains responsible for the request and cannot make the independent decision. An accepted order can reserve eligible demand, but a reservation is still separate from a picked or delivered quantity.
How the work is organized
- Source and scope. Keep the operator, product unit, effective price and acceptance evidence on the quote that led to the order.
- Decision and execution. Sales Manager decides credit exceptions and order acceptance; Sales Representative keeps the submitted revision and original promise available for review.
- Exceptions and correction. Track rejected offers, revised quantities and unreserved demand on the order line so the warehouse does not pick against an unapproved change.
What to agree during setup
Agree who owns operator contacts and price versions. Sales Representative should check the quote validity date, unit conversion and tax code before sending it. Sales Manager needs a credit review with the proposed exposure and a separate decision record. Define how the warehouse learns that an order is approved and which date remains the original delivery promise.
Check the handoff on an actual case
Use one operator ordering a charger kit for delivery to an address held on the order. Enter an offer, record its acceptance and submit the order. Check the credit review, approved quantity and original promise before releasing stock. Change the requested quantity and verify the new revision does not silently expand the approved commercial scope.
Follow one accepted quote into a submitted order and have Sales Manager review its credit exposure. After approval, change a line quantity and confirm the reservation still follows approved scope. Check that the original promise and the revised promise can both be found.
Before releasing the order, compare its accepted quantity with the quote line and the customer credit review. Keep the original ship-to and promised date alongside later changes. The Warehouse Manager can then distinguish a valid reservation from demand that still needs Sales Manager approval.
