How an Eye Care / Optometry rollout works
Set up clinic records, rehearse one care cycle and expand after the team agrees on handoffs.
Confirm operating terms
Agree visit types, consent purposes, note types, observation units, specimen types and service descriptions with the clinic leads.
Load the team and patients
Add user and person records, check clinician privilege evidence, then import patient numbers and assigned clinicians.
Set up care work
Configure access for coordinators, clinicians, reviewers and governance staff. Prepare encounter, consent, task and clinical record views.
Rehearse a visit
Run a scheduled patient through arrival, documentation, review, follow-up, charge approval and payment confirmation using representative records.
Connect outside sources
Agree lab accession matching, invoice delivery and payment reference reconciliation with the systems that provide those events.
What the customer provides
Provide the active patient list, staff identities, clinician license evidence, consent wording and service descriptions. Name the people who may review care and charges. Bring a realistic example of a lab specimen and patient payment so the team can test the external handoffs. Decide how long historical records need to be migrated and which existing system supplies them.
Changing it afterwards
Review new visit types, note conventions and care policies with the clinicians before changing them. Keep old patient visits and consent versions understandable after a change. When a role’s duties change, rehearse its access to notes, privilege records and billing records. Reconcile any new lab or payment connection with a sample case before relying on it in daily work.
