What you can do

Make each service line traceable

A work order is a dated service line linked to an installation engagement and technician. The technician records a work description, hours and whether the line is billable. Rate, amount and delivery cost give the manager a way to compare delivered value with the effort behind it. A line can be Draft, Submitted, Approved, Invoiced or Rejected, so its state should be read before it contributes to a billing review.

Submitting a line runs the configured Work Order Approval workflow. The workflow checks that the line is billable, has hours and points to an installation engagement. If all checks pass, it changes the line to Approved and writes a review decision and successful operation receipt. If any check fails, it leaves the line Submitted and writes a Failed receipt. The reviewer can inspect the result rather than assuming submission means acceptance.

How the work is organized

  • Work description. A clear description and work date explain what the technician did at the installation.
  • Eligibility check. Billable flag, hours and engagement link determine whether the configured workflow can approve the line.
  • Decision evidence. Review decisions and operation receipts record the outcome of the work order operation for later investigation.

What to agree during setup

Agree which technicians may enter service lines and when they submit them. Define what the team means by billable work and who checks the rate before the line is entered. The workflow uses the current work order fields; it does not infer a billable contract from the installation type. Managers should review the engagement link and description before using approved lines to discuss customer billing.

Set a correction path for failed submissions. A missing engagement or zero hours needs a corrected work order record and another submission. The Failed operation receipt remains useful evidence of the earlier attempt. Keep the review decision and receipt visible to the manager who reconciles delivery, especially when several technicians work at the same site.

Check the handoff on an actual case

A technician completes a service visit and creates a billable work order with a work date, description, positive hours and the active installation engagement. On submission, the workflow approves the line. The Installation Manager checks the approved line and its recorded decision before comparing the amount with the contract baseline.

A second line has a description and hours but no installation engagement. Submitting it leaves the line Submitted and records a Failed operation receipt. The Installation Manager uses that exception to send it back for the correct engagement link. The line is resubmitted only after correction; it cannot be treated as approved delivery merely because a technician entered it.

What your team sees

  • Approved Not Invoiced — Review accepted service lines that still show Approved.
  • Work Order Status Board — Scan service lines across draft, submitted, approved, invoiced and rejected states.
  • Rejected Work Orders — Find lines marked Rejected for follow-up.
