What you can do

Account for effort around the visit

A technician hours record captures a work date, hours, billable flag and notes. It links the technician, site and installation engagement, giving the Installation Manager the context needed to read the entry. Draft, Submitted, Approved and Rejected statuses distinguish work being prepared from work that has been reviewed. Billable and nonbillable hour calculations give the team separate totals without changing the original entry.

Travel and expenses use a separate record with a category, expense date, amount, billable flag and receipt URL. The entry links to the technician and installation engagement. Its statuses add Reimbursed after Approved, so expense approval and reimbursement are distinct operating steps. These costs appear in the engagement’s expense total and can inform the delivery economics review.

How the work is organized

  • Time against delivery. Hours are dated and attached to a technician, site and engagement before the manager reviews them.
  • Expense evidence. An expense can carry a receipt URL and category so a reviewer can inspect the claim.
  • Separate outcomes. Submitted time and submitted expenses are reviewed as their own records; a work order approval does not change either status.

What to agree during setup

Choose when technicians submit time and expenses, who reviews entries for each engagement, and what receipt evidence is expected for travel. A technician may have several installations in a week; the engagement link needs to identify the work that used the hours or incurred the expense. Agree how billable flags are set so delivered work and reimbursable cost are not confused.

Review capacity and cost rates on the technician record before comparing logged time with a budget. Weekly capacity hours, bill rate and cost rate are useful context, but they require consistent maintenance. Group dated time entries by week before comparing their hours with the technician’s weekly capacity. Inspect the entries behind an unexpected utilization figure.

Check the handoff on an actual case

A technician works at an active site, records a dated time entry against its engagement and marks the hours billable. The same trip produces a lodging expense with the receipt URL and amount. The Installation Manager uses the two awaiting approval lists to check the site, engagement, technician and amounts. The manager records an Approved or Rejected status on each entry after review.

A second time entry links to a different installation at the same site. Keeping the engagement link on both entries lets the director inspect hours against the correct contract budget. If a travel expense is approved but still awaits reimbursement, it remains Approved rather than being described as paid. The separate status tells the finance team what action remains.
