What you can do
Accounting periods in daily work
An accounting period groups documents for an organization and owner. The period includes start and end dates, status, linked document count and total document value. Its inline action advances Draft to Validated and Validated to Posted, recording an operation receipt.
A period holds an organization, owner, start and end dates, linked document count and document value. Period Owner inspects the linked documents before using Advance Accounting Period. The action moves Draft to Validated, then Validated to Posted, recording an operation receipt each time.
How the work is organized
- Period owner. Period Owner checks the dates, organization and linked documents.
- Transition. Advance Accounting Period moves Draft to Validated and Validated to Posted.
- Result. Reviewer compares each operation receipt with the period’s current status.
What to agree during setup
Agree when the period owner may validate the document population and when posting is appropriate. Check documents assigned to the period and explain exceptions in close notes. Period Owner should keep the document exceptions visible in close notes before advancing the period.
Agree what Period Owner checks in the linked documents before validation and again before posting. Preserve the period number and organization during import. Close notes can record a question about document population or value. Reviewer checks the receipt against the period status after each advance.
Check the handoff on an actual case
Choose a Draft period with linked documents. Review its dates, total document value and document list, then advance it to Validated. Read the receipt. Advance that same period to Posted and check the next receipt. A Posted period should refuse another advance and retain a Skipped result.
Period Owner opens the Draft period and checks its linked document count and value. After moving it to Validated, Reviewer reads the receipt and compares the status with the original period. The owner then posts the same period and checks another receipt. A later attempt on Posted yields Skipped and leaves the status unchanged.
