Equipment rental teams
An equipment rental team must answer which unit is committed, who has it now and when it can be offered again. Bookings carry the customer and expected pickup and return dates. Equipment status shows whether a unit is Available, Rented, Cleaning or in Maintenance. Maintenance tasks explain work still attached to a unit after return.
How Fitness Equipment Rental is set up for you
Booking review
Compare the requested period with other confirmed or picked-up rentals for the same unit.
Physical handoff
Record pickup against the confirmed booking and move the unit into Rented.
Return readiness
Reconcile the account, inspect the equipment and release it after necessary service work.
Begin with a clearly identified set of units. Give each a code, type and capacity. Enter customers, current bookings and rate plans before accepting new requests. Rehearse an overlapping request to make the availability rule concrete. Then pick up an eligible unit, create a linked draft charge and open a maintenance task for its eventual return.
At return, Finance Officer checks posted charges against confirmed receipts. The desk records the physical return separately. The unit goes to Cleaning, and an inspection determines whether it can be released or needs additional work. The manager changes it to Available when the inspection passes and the relevant tasks are completed. This stops an expected return date from being treated as proof that the equipment is ready.
Agree how to handle a customer who returns the item with a balance due. Decide who acknowledges that exception and how the desk sees the outcome. Payment provider confirmation remains a separate source of truth from the unit handoff.
