Asset register and capitalization
Build a financial asset record from approved acquisition evidence. A production machine can arrive on a supplier bill before it is ready for use. Keep the acquisition source and the in-service decision distinct. The register preserves the tag, serial number, category, location and custodian, while the accountant reviews which amount belongs in capitalized cost and when depreciation should begin.

What you can do
Keep the business context together
Keep the physical asset tag, acquisition cost, in-service date, category and source document together. The category supplies reviewed defaults for useful life and account mapping, while the individual record captures the actual property and its location. Incoming capex bills create candidates for review before an asset becomes in service.
A supplier bill may contain more than one asset or an improvement to an existing asset. Preserve the source line identity and the reviewed allocation of cost. Reimporting that same line must not capitalize it again. A later change to the supplier document needs a reviewed adjustment rather than silently replacing the asset’s established basis.
Give each decision a clear owner
Fixed Asset Accountant checks the capitalizable amount, supporting documents and custodian. Controller / CFO reviews policy exceptions and required accounting decisions. A supplier line or acquisition event must keep a stable identity so repeated imports do not create duplicate assets or duplicated capitalized cost.
Category defaults help prepare a book, but they do not decide every asset’s useful life or residual value. A machine, office computer and building improvement may need different treatment. The accountant checks the supporting policy and records the selected basis before activating the asset and generating a depreciation proposal.
Handle exceptions with the original record
A missing custodian, incompatible category or unsupported amount remains a preparation issue. Changing a source bill does not rewrite the cost of an in-service asset. Subsequent capitalization, corrections and retirements preserve separate records and their effect on the asset’s book history.
A custodian identifies the employee responsible for the item, rather than serving as proof of its financial ownership. The employee and asset must belong to the authorized entity. A missing assignment can be resolved during intake without inventing an employee or exposing the financial register to everyone who can perform a physical count.
Find the work that needs attention
Use Assets Pending Capitalization to investigate incomplete source documents, unresolved amounts and readiness for service. The queue should distinguish a proposed asset from one already operating. An item discovered during a physical count can enter this review with its observed identifier before an accountant decides whether a new register entry is appropriate.
Configure it around your business
Configure categories, asset numbering, employee bindings and opening register data with the asset accountant. Reconcile the opening cost and accumulated depreciation to the financial records, keeping acquisition and in-service dates intact. The completed register should answer what the asset is, where it belongs and which reviewed source established its financial basis.

What it keeps track of
Data model- Fixed assets
- The asset master. One row per capitalized item. Created from a capex AP Bill via
capitalization-from-bill, or manually by the Fixed Asset Accountant. Status drives the depreciation engine:InService,IdleandTransferredfollow the reviewed book policy. Disposed or Retired assets stop according to their effective exit treatment. Impaired assets continue depreciation from the approved revised basis and remaining useful life unless the reviewed classification policy requires a different treatment; impairment alone is not a stop flag. - Asset categories
- The category catalog. Sets the default useful life, depreciation method, MACRS class, and GL account targets used when a new
FixedAssetsrow is capitalized under this category. - Asset capitalizations
- The intake record that links a fixed asset back to its source Bill / PO / manual entry and stamps who capitalized it and the journal entry written for the initial capitalization.
- Employees
- Scoped employee identity for asset custody and approval; synchronized without granting roles from display names.
