Fleet operating connections

Connect authoritative driver, maintenance and delivery information while retaining ownership of external effects.

  • Fleet Management System
  • Driver licensing authority
  • Maintenance and workshop systems
  • Vehicle telemetry and delivery evidence
  • Carrier accounting
  • Fuel systems
  • Transport partners

Systems to connect

  • Driver licensing authority. Agree how the Fleet Coordinator checks the external authority reference and eligibility end date. The responsible source supplies the evidence used for upcoming assignment decisions.
  • Maintenance and workshop systems. Bring the physical service evidence needed for vehicle release into the review. Confirm the vehicle identity, service type, odometer reading and next due date with the source responsible for the work.
  • Vehicle telemetry and delivery evidence. Where another system provides observed pickup, stop or delivery information, agree the load and vehicle identifiers used to reconcile it. Retain proof and external references needed to inspect the actual event.
  • Carrier accounting. Pass the agreed load and delivery evidence to the customer’s accounting process. Invoice matching, payment and settlement remain with that process and its authoritative records.
  • Fuel systems. Use the customer’s fuel service for detailed consumption and cost information when required, with an agreed vehicle mapping and reconciliation owner.
  • Transport partners. Agree the operating contact and how changes to a load or delivery commitment are communicated. Keep supporting information attached to the relevant load for review.

How connections are governed

Identify the owner of each external effect before activating a handoff. Keep the load, vehicle and operation identifiers needed to distinguish a new action from a repeated request. Retain the result references and discrepancy when an outcome is uncertain.

Reconciliation reads the existing local effects and checks the authoritative source. It does not repeat external work or automatically reverse a partner-controlled action. Rehearse duplicate delivery, a changed revision and an unresolved source response with the people responsible for the connection before expanding its operating scope.
