Planning and dispatch

A Planned load needs a checked driver and vehicle arrangement before dispatch. The Dispatcher brings the load commitment, stop windows and assignment interval together, with the Fleet Coordinator resolving readiness or eligibility questions. Maintenance release follows its independent review whenever the intended vehicle requires it.

Step by step

  1. Plan the load Dispatcher

The Dispatcher records the load, transport partner, promised delivery time and ordered stops. The planning action records its receipt and advances the load from Draft to Planned. Retain the original delivery commitment for later performance comparison.

    • Draft to Planned with retained promise
    • Updates Loads, Load stops, Transport partners, Operation receipts
  2. Check the driver and vehicle Dispatcher

Review driver eligibility through the intended interval, vehicle readiness and equipment suitability. Inspect existing assignments for overlapping driver or vehicle use. Resolve the conflict or change the arrangement before proceeding.

    • Eligibility, readiness and interval conflicts checked
    • Updates Drivers, Vehicles, Load assignments, Vehicle defects
  3. Confirm the assignment Dispatcher

Record the chosen driver, vehicle and start and end interval. Move the arrangement from Held to Confirmed after the feasibility checks. Where the vehicle requires maintenance release, complete the supervisor's review and confirm the resulting readiness before dispatch.

    • Held to Confirmed after required readiness checks
    • Updates Load assignments, Maintenance plans
  4. Dispatch the intended scope Dispatcher

The Dispatcher records physical pickup and the authorized dispatch action. The load moves from Planned to Dispatched and the corresponding assignment reflects dispatch. Inspect the action receipt while keeping the promised delivery time unchanged.

    • Actual pickup and dispatch result retained
    • Updates Loads, Load assignments, Operation receipts

Where it usually breaks

And how to keep it from happening.

  • Eligibility gap. The driver's recorded eligibility ends before the proposed assignment finishes.
  • Conflicting commitment. The driver or vehicle already has an overlapping assignment that was missed during preparation.
  • Unconfirmed readiness. A maintenance approval is treated as proof of the resulting vehicle release without checking the action outcome.
