What you can do

Keep provider evidence with the order

Payment evidence records authorization, capture, refund and void receipts issued by a provider. Each entry includes its provider event ID, reference, dollar amount, occurrence time and verification state. Finance Reviewer checks the evidence against the affected stop order. The team can see an unverified receipt without treating it as confirmed money. Any payment provider remains the source of the event; the app keeps the evidence and local review context.

Corrections need the same care as an original acceptance. Operations Manager and Shift Supervisor read the current order revision, meal lines, review decisions and operation receipts before changing scope. An unexecuted draft can be handled differently from an accepted or partially served order. For executed scope, the reviewer approves a compensating action that retains the original records. A repeated correction uses its operation key to return the previous result.

How the work is organized

  • Evidence. Provider references and verification state let Finance Reviewer check payment facts.
  • Remaining scope. Service Lead identifies what has not been prepared or served before cancellation.
  • Compensation. Shift Supervisor reviews the action and preserves prior service and receipt history.

What to agree during setup

Agree which provider event types need review and who can verify them. Define how the team matches an event ID and provider reference to the order. Set the refund approval path for a partially served order and decide what evidence shows that the provider actually completed it. A local request alone is not a provider refund receipt. Check that waste and served quantities are reported separately when a cancellation affects food already prepared.

For an order partly served at a stop, Service Lead records the served portions. The supervisor reviews the unserved remainder, any ingredient waste and the current revision. Finance Reviewer checks the provider’s refund evidence for the approved amount. The correction leaves the original order and service facts intact, so the customer and shift team can understand what happened.

Check the handoff on an actual case

Rehearse a draft cancellation, a partially served correction and a refund. Confirm that only eligible remaining scope is cancelled. Repeat the same correction request and ensure a second refund is not created. Check the provider event ID for a refund and confirm the evidence is verified before the issue is resolved. Test a refund request whose provider evidence is missing or unverified and keep it visible for review.
