What you can do
Trace approval decisions, operation outcomes and files linked to delivery records
The review decision record stores the subject type, reference, decision, reviewer, date and notes. The operation receipt records the operation type, reference, date and result; service approval, milestone invoice and payment receipt use it to show what happened. A record attachment links a file URL and kind to a named parent record. These records help managers investigate an exception without relying on memory.
How the work is organized
The service approval operation records the decision on submitted service work; the service reviewer investigates exceptions. The engagement manager reviews milestone readiness. The billing coordinator checks the receipt after invoice and payment steps. Admin maintains access to the evidence records.
- Decision context. Keep a reviewer and subject reference with the decision.
- Operation outcome. Read Succeeded or Failed on the receipt before treating a step as complete.
- Linked file. Use a matching parent table name and record ID for contracts, deliverables or receipts.
What to agree during setup
Agree who may upload a contract or receipt and how long files remain available at their UR ls. Set a naming convention for subject references and operation references. Rehearse a successful service approval, a failed milestone invoice and a received payment, then make sure each can be traced from the affected engagement.
Check the handoff on an actual case
A billing coordinator opens an approved milestone whose invoice operation failed. The operation receipt shows Milestone Invoice and Failed. The coordinator checks the milestone amount and engagement, corrects the missing data, and reviews the next operation result. A service reviewer can similarly see which submitted line was approved and the recorded decision. When a client asks for the deliverable, the manager finds its linked attachment by the engagement or milestone record.
When a client questions an amount, start with the engagement and follow its service line or milestone to the decision and operation result. A receipt identifies what was attempted and whether it succeeded. The service reviewer checks the affected line before accepting a new approval result. The billing coordinator checks the milestone amount and engagement before repeating an invoice attempt. Each person can use the original reference to keep the correction tied to the same case.
A linked contract or deliverable gives context, but the manager still checks the source amount and status. Keep old failed results when a later corrected attempt succeeds.
