  • Telematics and driver tools
  • Receipt storage
  • Accounting
  • Existing fleet systems

Systems to connect

  • Fuel-card providers. Arrange purchase imports with the provider and agree how card references, dates, quantities and source identifiers map to the fuel record. Reconcile repeated or corrected imports before using them in reviewed activity.
  • Telematics and driver tools. Define any connection that supplies operating events or readings, including the vehicle and load identity used by the source. Keep the source and review responsibility clear.
  • Receipt storage. Agree where receipt files and links are retained and test access with the supervisor and Auditor. Confirm how a corrected document remains linked to the intended purchase.
  • Accounting. Define the handoff for reviewed purchase information with the accounting team. Agree units, currency interpretation and the correction procedure before transferring monetary values.
  • Existing fleet systems. If another system maintains vehicle condition or service evidence, define its ownership and how the relevant context reaches the review process.

How connections are governed

Name an owner for each connection and document which system controls the affected records. Agree source identifiers, retry handling and reconciliation before enabling imports. Test a repeated purchase, a corrected quantity and an unknown vehicle in the pilot.

Manage credentials through the customer’s normal access process. Keep organization scope and document permissions explicit. Follow the data model when mapping references so a purchase, receipt and decision continue to identify the same operating event.
