Purchase submission and review

Prepare a fuel purchase, examine its evidence and record the supervisor's decision before completing the handoff.

Step by step

  1. Capture the purchase Dispatcher

Dispatcher records the vehicle, purchase date, site, card reference and fuel type in Draft. Enter the quantity and odometer reading using the conventions agreed for that fuel type and source.

    • Prepare the Draft purchase and its context
    • Updates Fuel transactions, Vehicles, Organizations
  2. Prepare the evidence Dispatcher

Dispatcher attaches the receipt with a recognizable name and a related-record reference identifying the purchase. Add organization and load context where applicable, then check that the file or URL opens.

    • Attach the receipt and identify the intended purchase
    • Updates Record attachments, Fuel transactions, Loads
  3. Submit the record Dispatcher

Dispatcher checks the purchase and moves it from Draft to Submitted under the team's review procedure. Keep the revision and evidence references ready for the supervisor to examine.

    • Record Draft → Submitted
    • Updates Fuel transactions
  4. Decide the purchase Transport Supervisor

Transport Supervisor approves, rejects, returns or escalates the purchase after checking the receipt and relevant operating work. Record the source record, revision, reviewer and rationale with the decision.

    • Record Approved, Rejected, Returned or Escalated against the purchase revision
    • Updates Review decisions, Fuel transactions, Record attachments
ApprovalA person approves before the work moves on.
  5. Record the outcome Dispatcher

Dispatcher matches the decision to the purchase and current revision, then updates the fuel transaction under the agreed procedure, using Approved or Rejected where appropriate. A returned decision identifies further work for the Dispatcher before a new review; keep its rationale visible.

    • Apply the agreed purchase-state update or investigate the requested correction
    • Updates Fuel transactions, Review decisions

Where it usually breaks

And how to keep it from happening.

  • The receipt identifies another purchase. Check the transaction reference and file before asking the supervisor to decide.
  • The quantity convention is unclear. Establish whether the entry uses gallons or another agreed basis before comparing it with other records.
  • A decision and purchase state disagree. Read the supervisor's rationale and complete the role handoff before including the record in reviewed activity.
