Receipt correction and renewed review

Resolve a purchase discrepancy with clear evidence references and a new supervisor decision.

Step by step

  1. Read the concern Dispatcher

Dispatcher opens the Rejected purchase or the Returned or Escalated decision. Identify the exact question in the supervisor's rationale before changing the record.

    • Identify the rejected purchase or requested correction
    • Updates Fuel transactions, Review decisions
  2. Gather the evidence Dispatcher

Dispatcher checks the receipt, purchase details and related load. Transport Supervisor examines the wider vehicle and assignment context when the concern needs information outside the Dispatcher's records.

    • Examine the source evidence and operating context
    • Updates Record attachments, Loads, Vehicles, Load assignments
  3. Correct the purchase Dispatcher

Dispatcher makes the agreed correction and keeps the revision and evidence references consistent. Where the procedure permits reopening a rejected purchase, move it to Draft before preparing it for submission again.

    • Correct the entry under the agreed reopening procedure
    • Updates Fuel transactions, Record attachments
  4. Review the revised entry Transport Supervisor

Transport Supervisor examines the updated purchase and records a fresh decision against the intended source record and revision. The rationale should explain how the earlier concern was resolved or why it remains open.

    • Record a new decision against the revised purchase
    • Updates Review decisions, Fuel transactions
ApprovalA person approves before the work moves on.
  5. Complete the handoff Dispatcher

Dispatcher records the resulting purchase state. Auditor checks that the decision, purchase and receipt can be followed together without confusing the earlier entry with the revised information.

    • Apply the outcome and inspect the reference trail
    • Updates Fuel transactions, Review decisions, Record attachments

Where it usually breaks

And how to keep it from happening.

  • Returned is treated as a fuel state. Read the returned decision alongside the purchase's actual state and follow the agreed correction procedure.
  • The corrected receipt still points elsewhere. Check the related-record reference and file after the update.
  • The new decision refers to the earlier revision. Confirm the source record and revision before recording the renewed outcome.
