Systems to connect
- Bank records. Bring bank references and statements into the team’s reconciliation process for released payments.
- Payment provider. Bring verified cash receipt events with their provider event ID, amount and received date.
- Donor source. Agree which system owns donor contact changes before importing or updating receivables.
- Document storage. Keep source invoices, contracts, remittance advice and bank statements attached to the business records staff review.
How connections are governed
Decide who owns each source, how duplicate provider event IDs are handled and how failed imports are investigated. The finance team should compare external acknowledgments with Payments and cash receipts before changing a reconciliation state. Preserve original references and dates through import so an auditor can trace a local record back to its source. Rehearse a corrected event as well as a successful one. See the data model for the links that need stable record IDs.
