What you can do
Follow the record
A matching gift claim is linked to a specific funding case and organization. It carries an eligible gift amount, submission time, employer confirmation. The claim can be Draft, Submitted, Approved, Rejected or Completed. Those states describe the claim’s review and completion; they should not be read as proof that the employer’s money has arrived.
The Funding Owner gathers employer confirmation and case evidence before submission. The Matching Gift Reviewer checks the selected parent case, claim revision, supporting material and independent membership. An approval is a recorded decision about eligibility. A rejected claim stays distinct from a returned review request; the reviewer records the decision against the selected claim and case. The reviewer must not choose a different case merely because its subject looks similar.
Suppose a supporter gives $500 and an employer promises an eligible match of $500. The team can record the claim amount and employer confirmation under the correct case. The reviewer can approve the claim after checking evidence. Finance still waits for a confirmed receipt before treating the $500 as cash. That distinction protects the case’s available balance from an approved but unpaid claim.
How the work is organized
- Prepare. The responsible person records the case or activity with its current scope and evidence before asking for a decision.
- Decide. The assigned reviewer checks the record, authority and revision before changing its outcome.
- Verify. Finance and operations staff compare the saved effect with the source evidence before treating work as complete.
What to agree during setup
Decide what employer confirmation is acceptable, who submits claims and how independent review is assigned. Agree how to identify the parent case when several cases have similar subjects. Set the steps for recording a later confirmed receipt and for following up on a claim that remains approved without confirmed funds.
Check the handoff on an actual case
Create a claim linked to a case and attach employer evidence. Have a different member review the exact claim and parent revisions. Try a stale claim revision, a mismatched organization and a missing confirmation; the decision should be refused. Approve the valid claim and verify the case has no new receipt event from the approval alone. Then record actual provider-confirmed funds as a separate finance action.
