What you can do
Follow the record
The Funding Reviewer needs the case that was actually submitted, not an earlier copy of its amount and evidence. review decisions records the source revision, decision, reason, time, reviewer and operation key. The reviewer can approve, reject or return. A return asks the owner to correct the case; a rejection records a decision that should remain explainable later. Approval sets the award to the exact requested amount at decision time.
case attachments keeps the evidence close to the case. Each file has a title, evidence type, upload time, uploader and Internal or Shared visibility. Staff can distinguish material intended for broader sharing from internal review evidence. A visibility choice should be checked before giving someone access to a case; it is not an authorization to copy the file outside the team’s policy.
Consider a request whose amount changes from $20,000 to $24,000 after submission. A decision drafted against the earlier revision should be refused, then reconsidered with the new case and evidence. The decision history should show who made the current choice and why. The operation key guards against the same decision being applied twice. The owner must not approve their own case merely because they can see it in a queue.
How the work is organized
- Prepare. The responsible person records the case or activity with its current scope and evidence before asking for a decision.
- Decide. The assigned reviewer checks the record, authority and revision before changing its outcome.
- Verify. Finance and operations staff compare the saved effect with the source evidence before treating work as complete.
What to agree during setup
Define the evidence types your team uses and which files are shared. Agree on reviewer independence, organization scope and the minimum reason required for rejection or return. Decide who may replace an attachment before resubmission and how staff will explain changes to a reviewer. Keep the rule for current revision visible in the review procedure.
Check the handoff on an actual case
Submit a request with a supporting file and have a separate reviewer approve it. Inspect the recorded source revision, reason and reviewer. Try a self-review and a decision against an old revision; both must fail. Return a second request and let the owner inspect the reason, attach corrected evidence and submit a new revision. Check Internal and Shared file visibility with the people who will actually use the queue.
