What you can do

Track preparation, dispatch and delivery against one order

A prepared order is assigned a driver reference. The coordinator compares its promised time with the observed fulfillment event, then follows dispatch and delivery on the order. If a receipt is uncertain, the linked run and step preserve the original attempt for investigation. The work starts with kitchen code and driver reference. Those details let the next person open the same order or partner context instead of relying on a message thread. The team then checks promised time, observed event and delivered time. The important decision is whether a delivered status is supported by an event and actual timestamp.

The records here separate an operating fact from its review. An order can have a status, an observation can have an outcome, and a run can have an execution result. Each answers a different question. When the team sees an event without a matching source reference or receipt, it keeps the observation sequence and operation trace beside the source order so a later reviewer can reconstruct what happened.

How the work is organized

  • Identify the source. Start from kitchen code and driver reference and keep the related organization, partner and order visible.
  • Check the decision. Review promised time, observed event and delivered time before the order moves to the next status or a result is used.
  • Keep the trail. Record the observation sequence and operation trace with the same source identity when a question needs investigation.

What to agree during setup

Agree how Fulfillment Coordinator records the driver reference, promised time and observed event. Record the actual delivery time against the same order. Compare an event outcome with the status before moving from Dispatched to Delivered. Keep any uncertain receipt in the operation trace for investigation.

Give the Fulfillment Coordinator an order with a driver reference and actual delivery time. Walk through an accepted case and an event without a matching source reference or receipt. Check that the person responsible for the next step can find the linked source record and its current status. Keep earlier revisions, outcomes and reasons available when the team investigates a change.

Check the handoff on an actual case

A prepared order is assigned a driver reference. The coordinator compares its promised time with the observed fulfillment event, then follows dispatch and delivery on the order. If a receipt is uncertain, the linked run and step preserve the original attempt for investigation. Ask Fulfillment Coordinator to compare the promised time, actual time and event outcome. The Order Fulfillment Events Review page should show the deviation and its reason. If a receipt is missing, inspect the linked run and step before recording another observation.

Rehearse the case with a returned or uncertain outcome as well. The team should keep that result visible, assign an action with a due date where needed, and close the action with a resolution that points back to the order. The order trail should still show what happened before the correction.

What your team sees

  • Order Fulfillment Events Review — Inspect fulfillment deviations with their reason and the available resolution action.
  • Delivery Promises — Compare promised times with delivery progress and driver references.

Follow the work through

Follow the worked process and agree the implementation sequence before the first operating cycle.
