How a Grant Management Platform rollout works

Start with a real program and follow one application through review and funding activity.

  1. Define scope

Select the organization and program for the pilot, agree on eligibility wording, roles and case ownership.

  2. Prepare records

Load active team members and the program, then create funding cases with stable numbers, requested amounts and due dates.

  3. Rehearse review

Submit an application with an attachment, record Approve, Reject and Return decisions, and compare each decision with the case revision.

  4. Rehearse activity

Add a receipt and disbursement event to an awarded case, then reconcile provider references against the external money source.

  5. Check exceptions

Repeat an operation key, change a case revision and inspect Failed and needs review outcomes with the people who resolve them.

What the customer provides

Provide organization and program names and codes, eligibility notes, current team members, a representative application and its supporting document. Bring one example of an award decision with a reason, and a receipt reference from the source used to confirm money movement. Name who can approve, who can enter funding events and who may view Internal evidence.

Changing it afterwards

A changed request needs a deliberate review of its current revision. Preserve earlier decisions and events so the team can explain the history. For an executed funding movement, route a correction to the reviewer and Finance Officer; record any refund as a separate dated event. Expand to more programs after the pilot team can reconcile a case end to end.
