What you can do

programs and organizations in the operating cycle

programs describes the funding context that a case points to. Each program has a name, code, active state, contact, address, eligibility note and organization. organizations supplies the name, code, active state, time zone and currency. team members ties a named person and role name to an organization and, where available, a user identity. The Case Owner uses these records when opening a case; the Grant Reviewer uses them when deciding whether the application belongs in the intended program.

How the work is organized

  • Organization. Keep a stable code and currency on the organization so the team can distinguish programs with similar names.
  • Program. Maintain the eligibility note and contact details before a new request is routed for review.
  • People. Assign an active Team Member as the case owner and record the person who makes a review decision.

What to agree during setup

Agree who can change program eligibility text after cases have been submitted. A changed eligibility note can affect how a new application is judged, so the reviewer should know which program context applied to the case under review. Decide how inactive programs are handled for existing cases, and who maintains contacts when a program representative changes. Set organizational boundaries for readers and editors before importing a shared catalogue of programs.

Check the handoff on an actual case

Create an organization with its intended currency and an active program. Add the eligibility note that a reviewer would actually use. Assign a team member to the organization and create a funding case pointing to the program. The Case Owner should see the program and organization together; the reviewer should find the same context on the submitted application and parent case. Mark a different program inactive and confirm that the team understands which open cases it still affects before taking new requests.

What your team sees

  • Active programs — Current programs with organization, contact and eligibility note.
  • My team profile — The signed-in team member’s organization and active state.

Active programs helps the Program Manager check names, codes and eligibility before cases are filed. My team profile lets each person check the identity and organization used in case assignments. These screens are most useful when the team treats program codes and organization codes as durable references. A clear owner and reviewer relationship also makes later questions about an award easier to answer without relying on a shared mailbox or a person’s memory.

Follow the work through

Start with intake and submission, continue through review and award, then check funding and closeout. Use exceptions and corrections when an action needs another decision.
