What you can do
Review and decisions in the operating cycle
A review decision is a record in its own right. It identifies the parent funding case, the reviewer, the decision, the reason, the time of decision, the source revision and an operation key. Those details make an approval distinguishable from a request returned for changes or a rejection. The reviewer should read the application and case evidence before choosing Approve, Reject or Return. A decision should explain what the reviewer considered, especially when the awarded amount differs from the requested amount.
How the work is organized
- Queue. Cases awaiting review and Applications awaiting decision show the requests that need a person to act.
- Decision. Record the chosen decision against the case, with the reviewer and a reason that can be understood later.
- Version. Keep the source revision with the decision. A changed case needs a fresh review instead of inheriting approval of earlier content.
What to agree during setup
Name the person or role permitted to approve awards and the person who resolves returned submissions. Agree what supporting attachments are required for the decision and who may see Internal versus Shared evidence. Decide when a decision becomes final for the team and how a later correction is handled. The decision record offers a clear audit trail, but a policy is still needed for access, segregation of duties and any external authorization.
Check the handoff on an actual case
Use a submitted application on a case with a current revision. Ask the Grant Reviewer to record an approval and explain why the program is eligible. Inspect the resulting decision, application outcome, parent case and operation receipt together. Then alter the case revision and rehearse an attempted repeat with the old source revision. The reviewer should see the conflict and make a deliberate new decision instead of assuming the earlier approval still applies. Rehearse a Return decision with a concrete reason as well.
What your team sees
- Cases awaiting review — Submitted cases for the reviewer to inspect before recording an outcome.
- Decisions by case — Dated decisions with reviewer, reason and source revision.
The review screens should let a reviewer move from a queue item into the related case without losing context. A manager reviewing an awarded case can inspect the dated decision and the exact version it covers. If an operation is Failed or needs review, the Operations Lead reads its receipt beside the decision rather than repeating the action blindly. The visible trail helps the team resolve a disputed award with the person who had authority to decide.
Follow the work through
Start with intake and submission, continue through review and award, then check funding and closeout. Use exceptions and corrections when an action needs another decision.
