Ask Proto about the next handoff

Give your team guided help with stay, service and finance work.

It can

  • Property Manager: List requested stays and flag unit capacity or interval decisions to review.
  • Front Desk Agent: Gather the linked party, unit, service tasks and outlet bookings for an arriving guest.
  • Finance Officer: Compare posted charges with confirmed payments for a selected stay.
  • Operations Reviewer: Find linked records that need a closer evidence check before a decision.

Stays with a person

  • A person must decide whether to confirm a stay, accept a financial exception or release a unit after cleaning.
  • The assistant can present the relevant records and describe a conflict, but it must use the permitted actor and current record state for any change.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Choose the operating scope

Start with a property, its bookable units and the people who own desk, service and finance decisions.

  2. Set the master records

Load parties, team members, units, dated rate plans and effective exchange rates as needed.

  3. Rehearse a stay

Request and confirm a reservation, check in, assign work, add an outlet booking, record charges and reconcile a payment at checkout.

  4. Test exceptions

Try an overlapping stay, an oversized party, a late outlet charge, a pending payment and a unit that fails its cleaning check.

  5. Expand carefully

Add more units and outlets after the team can explain every state and financial handoff in the pilot.

All questions
How do I get started?

Click Get started, then use Proto to configure Guest Feedback & Reviews for your business. Start with a property, its units, current rate plans and one sample stay from request through checkout.

Who maintains the units?

The Property Manager maintains bookable resources, their capacity and current state. Agree who moves a unit into Maintenance and who accepts it back after cleaning.

How is a stay confirmed?

The Front Desk Agent checks the requested dates, unit capacity and overlapping reservations before confirming the stay.

Can a booking include restaurant or spa plans?

Yes. An outlet booking can hold the type, outlet name, start time and guest count and link to the stay.

How do staff follow service work?

A service task has an event type, due date, assigned team member, unit, reservation and status. Use the open task list to follow unfinished work.

When does a charge count at checkout?

Finance Officer reconciles charges that are Posted. Draft and Voided entries have different meanings and should remain visible in their own states.

Is a pending payment treated as received?

No. Finance Officer uses Confirmed payment records for reconciliation and keeps Pending or Refunded outcomes distinct.

What happens after checkout?

The unit moves to Cleaning. The Property Manager returns it to Available after the cleaning inspection passes.

Can other systems provide booking and payment facts?

Yes, once their identifiers, status mapping, responsible owner and correction path are agreed. Start with integrations.
