What you can do
Establish the party behind the policy
A policy belongs to an organization and names a policyholder. Policyholder and organization keeps those identities stable while staff review coverage, preauthorizations and claims. Policy Operations Specialist records the policyholder’s code, contact and eligibility note, then links that party to the policy. Team Members identifies the staff owner and their organization. The link matters because a policy number alone does not tell the claims team which party or operational scope applies.
An organization has its own code, active state, time zone and currency. The policy has a monetary premium in US dollars; the organization currency should still be reviewed when reconciling imported source data. Active flags on policyholders and team members let the insurer distinguish current participants from historical references. Existing policies should keep their party and owner history when a person or contact changes.
How the work is organized
- Identify the party. Match the policyholder code and organization before creating or revising the policy.
- Assign responsibility. Give the policy an active Team Members owner whose organization matches the operating scope.
- Carry context forward. Use the linked party and owner when routing a policy, preauthorization or claim for review.
What to agree during setup
Choose the source of organization and policyholder codes, and decide who may correct duplicates. Agree whether a policyholder can appear in more than one organization and how staff should treat a changed contact name. Set the evidence required before an eligibility note is changed. A policy should retain a stable link to the party that was reviewed, even when later contact details are corrected.
For staff, agree how Users identities map to Team Members and which organization each member may serve. The role name stored on the team record is descriptive context; access rules should be tested with actual sign-in identities. The insurer should also decide who takes over an owner’s open policies when that person becomes inactive.
Check the handoff on an actual case
A claim arrives with a policy number and policyholder code. Policy Operations Specialist finds the policy and confirms that its counterparty matches the policyholder in the same organization. Claims Intake Specialist records the claim against that policy. Claims Assessor reads the eligibility note as context, then checks the actual coverage terms and loss evidence for the decision. A changed contact address does not change the claim’s policy link.
Now test an out-of-scope staff account. It should not be able to revise the policy or read restricted evidence belonging to another organization. Reassigning the policy owner should retain the earlier review decision and the operation receipts tied to the policy. A repeated source code should be resolved before import rather than producing two parties with the same identity.
